PFFMA ZONE 3 MEETING
Fifth Season In, Amarillo, TX- Sunday, November 22, 2009
The meeting was called to order at 2:10 pm by President Scott Nelson
Invocation was given by PFFMA Chaplain Wyley Chaney. Pledge was led by PFFMA Sweetheart Lauren Hamilton and Mascot Maryah Garcia.
Board members present were President Scott Nelson, 1st VP Billy Bonner, 2nd VP Mario Garcia, Secretary/Treasurer Paul Hamilton, Chaplain Wyley Chaney and Past President Craig Dubois. President Nelson declared a quorum. Board members absent were 3rd VP Kelly Vandygriff and 4th VP Tim Smith. Guests present were Jeri Hamilton, PFFMA auxiliary historian; PFFMA Past President David Jusiak; B.J. Bonner, Shamrock FD
Minutes of the August 16 board meeting were read. Motion made and seconded to approve minutes. Motion carried.
President Nelson gave his report. Fifth Season Inn’s contract has been signed and is good through the 2011 convention.
Secretary/Treasurer Hamilton gave the treasurer’s report. Dues statements have been mailed to departments. As of this time only two departments have returned payment. 2nd notices for dues will be mailed on or about January 1, 2010. Bank balances were presented. Motion made and seconded to approve treasurer’s report. Motion carried.
1st VP Bonner had no report.
2nd VP Garcia reported he has checked on the starter pistols and has found a man in Dalhart that will check them. The nozzles have been taken to Panel Machine to be worked on. Garcia stated he will check with Jerry Turner to see if he will provide sound system and DJ services. Garcia will also check with Dalhart Fire Department to see if they have a location to store the smokehouse trailer for the winter out of the weather.
3rd VP Vandygriff and 4th VP Smith were not present to report.
Past President Dubois had no report, but thanked the board for their contribution to make the association successful.
Chaplain Chaney reported he had received one request for assistance from the relief fund. He also reported that he will get the nameplates for 4th VP Smith, sweetheart and mascot taken to the trophy shop to get done. Chaney reports that items for the memorial have been taken care of. Chaney reported that he had an expense of $40 for a plant that was sent to a Dalhart firefighters family. Motion made and seconded to reimburse Chaney for this expense. Motion carried.
The SFFMA planning conference was then discussed. The conference will be held January 29 & 30, 2010 in Corpus Christi. Secretary Hamilton will attend this conference. Motion made and seconded for the association to pay for mileage and 3 nights hotel for Hamilton. Motion carried. Hamilton stated he is looking into running for SFFMA 4th VP instead of SFFMA secretary. The board discussed having some sort of fundraiser at the convention to raise money to help offset some of the costs. Past President Dubois suggested having a booth set up and doing a raffle. President Nelson suggested that a letter be sent to all departments asking for their support as well.
Status of 501c3 was discussed. President Nelson would like for the paperwork to be complete and status granted by May 2010. Secretary Hamilton will prepare paperwork.
PFFMA 2010 convention will be May 14 and 15. Golf tournament will be held on Friday and business meeting, pumper races, dinner and casino night will be on Saturday. The board would like to send out requests for proposals for the meal for Saturday. Secretary Hamilton will send to 3 or 4 different caterers. The board asked Jeri Hamilton to follow up on rental of a bouncer and also the contract with AMBUCS for the casino night. AMBUCS will be asked to have tables set up and ready to go by 8pm and also will be invited to eat dinner with the association at 6pm. Discussion was held about having a Texas Hold ‘Em tournament again during the casino night. It was suggested that the tournament be held in a separate room and a prize be awarded to the winner of the tournament. Beer vendors need to be contacted no later than the first week of January to secure donations. President Nelson will contact Bud, Miller and Coors by January 4, 2010.
President Dubois recommended that a sign be made and taken to area fire schools and other events to advertise the PFFMA convention. Costs will be obtained for different types of signs. President Nelson will contact 4th VP Smith to take care of this.
The next board meeting will be March 6, 2010 at 2pm in Dalhart at the Rita Blanca Coliseum located on FM 281. Dalhart Fire Department will host it’s annual chili cook off.
